An automobile company is looking to hire a personal assistant to work closely with the CEO.

Job Description

Screening CEO’s personal phone calls, enquiries and requests, and handle them when appropriate.

Dealing with incoming mail and often corresponding on behalf of the CEO

Make travel and accommodation arrangements.

Liaise with staff, customers, service providers and other visitors.

Circulate meeting agendas and minutes.

Record meeting minutes as required.

Manage CEO’s calendar, schedule meetings, and coordinate appointments efficiently, ensuring optimal use of time. 

Provide administrative support, handling correspondence, and preparing documentation effectively. 

Coordinate meetings, prepare agendas, and facilitate communication for enhanced productivity. 

Serve as a liaison between the CEO and internal/external stakeholders, fostering effective relationships. 

Assist in managing projects, conducting research, and ensuring confidentiality and integrity in handling sensitive information. 

Prioritize tasks effectively, proactively addressing issues to enhance operational efficiency. 

Stay updated on industry trends and best practices relevant to the role, collaborating with teams to achieve organizational objectives. 

Coordinate general office activities and operations to ensure efficiency.

Track office supplies and place orders when necessary.

Ensures the office is kept clean at all times. 

Manage correspondences (Emails, letters, packages).

Requirements/Qualifications:

Bachelor’s degree in business administration or a related field

5 years of experience in executive support. 

Proficiency in calendar management, scheduling, and meeting coordination. 

Strong organizational skills with the ability to prioritize tasks effectively. 

Excellent communication skills, both verbal and written. 

Ability to maintain confidentiality and discretion in handling sensitive information. 

Proactive problem-solving skills and a collaborative mindset. 

Adaptability to changing priorities and fast-paced environments. 

Proficient in MS Excel, Ms word and Office suite.
